WORK ACROSS TEAMS

Back-office automation: from open task to completion.

An invoice, a purchase or a new hire passes through several teams before completion. See how Atiende connects documents, decisions and systems so each owner can find what they need and completion is backed by a check.

Abstract network of connected conversations and data
01 / WORK ACROSS TEAMS

The work that remains after the message

A supplier sends an invoice. Administration finds the order, purchasing confirms delivery and accounting reviews the amount. When those steps live in separate emails, someone ends up chasing replies and copying the same details.

Back-office automation connects that journey: receive the request, complete the information, apply rules, obtain decisions and check the outcome. An AI agent can interpret a request or prepare documents; process rules and authorized people determine which actions can proceed.

02 / WORK ACROSS TEAMS

An invoice goes through five concrete steps

The example starts when a document arrives and ends when it is recorded in the agreed system or a discrepancy is assigned for review. Defining that endpoint avoids confusing a received file with a completed process.

  • Receive: identify the supplier, invoice, amount and record; keep the source file.
  • Cross-check: consult the available order and receipt; flag missing fields and discrepancies.
  • Review: route a discrepancy or approval to the owner with the required documents.
  • Record: write validated data to the enabled system and check the reference it returns.
  • Close: keep the outcome, date and open items. Scheduling or executing payment is a separately defined scope.
03 / WORK ACROSS TEAMS

One method, different work in each department

The starting point changes with the request. These scenarios help define a project with the team doing the work; actions and connections are confirmed before implementation.

04 / WORK ACROSS TEAMS

Context includes data and who may use it

To continue a case, the agent needs the customer, supplier or employee reference, the correct document and current work status. We define which source takes precedence when records differ and who corrects the information.

Reading a balance and changing it are different permissions. So are preparing and issuing a purchase order, or requesting and granting access. The workflow preserves these distinctions and hands exceptions to the owner with the proposed action and supporting records.

05 / WORK ACROSS TEAMS

Connections checked one operation at a time

Atiende includes specific workflows such as tax-invoice XML intake, reconciliation and configured email follow-up for accounting practices. Connections to another organization’s ERP or CRM depend on its provider, permissions and interfaces. We review each read and write needed by the process.

  • An available API is tested with the project’s fields and account; the provider name does not confirm integration.
  • Import and export files can be the right connection when they retain references and allow outcome verification.
  • Direct connections to CONTPAQi, Aspel or other accounting systems are scoped and validated for the project.
  • Failed sends or writes remain pending review; completion depends on the destination system’s response.

Measure the complete workflow

Before implementation, sample current work: how long a request takes, how often a field is re-entered and how long it waits for a decision. Then compare the same types of cases and review both resolution and exceptions.

Outcomes can be observed in complete records, fewer repeated entries or a clearer task queue. Targets are agreed using your data; no single savings percentage applies to every business.

  • Time from receipt to verified completion.
  • Requests returned for missing documents or fields.
  • Open items by owner and time awaiting approval.
  • Corrected records or cases reopened after closure.

Bring a case your team knows

For the first review, choose a representative invoice, requisition or onboarding and bring the steps, systems and people involved. Include one case that went well and another that needed clarification. That information helps define what to automate, what a person must decide and what evidence will show the process is complete.

A little more clarity

Before we begin.

How does this differ from answering messages with a chatbot?

The scope includes what follows the message: consult documents, record data, request approval and verify the outcome. An informational chatbot may be enough if the task only needs an answer; back-office work requires records, owners and completion criteria.

Do we need to replace our ERP?

We first review current systems’ interfaces, formats and permissions. If they support the required operations and confirmations, they can remain the source of record. Any additional development is defined in the proposal.

Can it approve purchases or execute payments?

Those actions must be scoped separately. Preparing a purchase request or payment file does not authorize approval or execution. The project defines owners, limits and integrations and checks that each action respects those decisions.

What happens when an incomplete document arrives?

The workflow identifies the missing field or file, keeps the case and routes it to someone who can complete it. Ambiguous data waits for review; automation continues once the agreed requirements are met.

How much time or money will we save?

Estimates use the selected process’s volume, current times, waiting periods and costs. The pilot compares outcomes with that baseline and includes reviews, incidents and solution operation; savings are not guaranteed before measurement.
