Welcome guests from the first contact
A call or message brings a question about dates, rooms or a service during a stay. The agent gathers guest numbers, preferences and contact details. When reception needs to step in, it receives the request and conversation so far.
WHAT YOU GETA request reception can pick up.
02 / 05
Quote with the hotel’s rates
Check availability, occupancy and configured rate plans. Prepare stay terms and record the booking through enabled tools. Guests receive confirmation once a real booking exists; special requests go to reception.
WHAT YOU GETDates, rates and terms in the booking.
03 / 05
Route each request to the right team
During the stay, reception records guest needs. Housekeeping and maintenance receive room-linked tasks with an owner and status. The next shift can see what was handled and what remains open without tracking down whoever took the request.
WHAT YOU GETRoom tasks tracked across shifts.
04 / 05
Review the account before checkout
Bring charges, payments and deposits into the stay folio. Staff review adjustments, balances and discounts requiring approval before closing. Invoices use those records and are certified through the configured provider.
WHAT YOU GETA folio that explains every charge and payment.
05 / 05
Close with the next shift in mind
Night audit brings recorded operations together: occupancy, revenue, open folios and outstanding requests. Management can distinguish an account issue from a service problem. Reception starts the next shift with each stay’s open items in view.
WHAT YOU GETOpen account and service items visible at closing.

WHAT CHANGES FOR YOUR TEAM
Less repetitive work. More work completed.
Booking, guest and stay share one record.
Requests become tasks with an owner and status.
Folios, invoicing and reporting follow the stay’s lifecycle.
One booking throughout the stay
Reception checks guest details, dates, room and requests in one record. At shift change, staff have the information needed to welcome arrivals, continue service or prepare checkout.
Housekeeping knows which room is next
Room status and assigned tasks help prepare arrivals and handle incidents. Each task keeps its room, owner and progress so reception can check what needs attention before proceeding.
An account you do not have to rebuild
Charges, deposits, payments and adjustments stay in the folio. Accounting reviews balances and approvals before night audit or invoicing, with a breakdown of what each team recorded.
Connections defined for each property
Start from your hotel’s PMS, channels and rules. Define what Atiende reads, updates and routes for approval; validate channel, invoicing and vendor credentials before enabling them.
From the call to a confirmed reservation
Configured voice and WhatsApp agents gather dates, guests and preferences, check availability and use enabled booking tools. Each confirmation depends on the actual record. Reception retains context to continue service or resolve a special request.
Group bookings without parallel spreadsheets
Prepare time-limited quotes, room blocks, release dates and rooming lists. Record deposits and review room-block pickup. Sales and reception work from the same group record and review outstanding items before arrival.
Guest identity with controlled access
Identity files have viewing permissions, access records and retention policies. Information required for the stay and guest registration is organized with access controls, so welcoming a guest does not mean distributing documents across conversations.
Invoicing that starts with the folio
Lodging details, charges and deposits feed tax-invoice preparation. Certification requires a configured provider and authorized staff permissions. The information recorded by reception reaches accounting, with adjustments and outstanding items reviewed before closing.
Operational signals reach decision-makers
Review overdue requests, open folios and alerts for out-of-policy discounts or reopened accounts. Recorded reviews can lead to follow-up and maintenance tasks. Management distinguishes service issues from financial decisions requiring review.
First, we understand your business. Then we connect it.
Transformation starts where time is lost today. We design automation around your people, your rules and the systems you already use.
01
Find the process that matters
Observe how your team works today: real requests, repeated tasks, waiting, errors and systems. Discovery produces a process map, ownership and a measurable baseline.
02
Design the complete workflow
Define inputs, decisions, actions and completion evidence. Prioritize impact and feasibility, with clear rules for approvals, exceptions and follow-up.
03
Connect your systems
Review available APIs, webhooks, files and access. Agree which system owns each record, what the agent may read or update and how to prevent duplicates or unconfirmed actions.
04
Test with your operational cases
Validate normal workflows and difficult cases: incomplete information, unavailable systems or pending approvals. Your team reviews outcomes before expanding usage.
05
Operate, measure and improve
Define ownership, training and follow-up. Compare time, quality and backlog against the baseline; refine rules and expand to other processes when outcomes justify it.
Voice and WhatsApp actions are limited to enabled reservation and service tools. Charges, adjustments, expenses and invoicing retain authorized staff permissions. Automation coordinates service without giving the agent unrestricted access to hotel finances.
Can I coordinate reception, housekeeping and maintenance?
Yes. Reservations, rooms, requests and tickets retain owners and status. Each team sees its relevant information, and reception can review outstanding stay items without depending on messages scattered across shifts.
Are invoicing and group bookings part of the software?
Yes. Modules cover folios and lodging tax invoices, plus group quotes, room blocks, rooming lists and recorded deposits. Invoice certification is enabled with the corresponding provider. Recording a deposit does not automatically charge it.
How do we start?
We map your operation: a real case, manual tasks, systems and owners. Define the first workflow, its connections and how to verify completion before launch.
Does it connect with my current systems?
Review PMS and channel coverage for each property. Telephony, external review platforms and invoice certification require setup and testing with the relevant providers.
What does my team still handle?
Your team defines rules, reviews exceptions and retains agreed approvals. Atiende gathers information, executes enabled steps and shows pending work and results so people can act with context.
