COMPARISON

Chatbot, agent or more people? It depends on the task.

An honest framework for choosing between an AI agent, a traditional chatbot and a manual team: availability, actions, integration, escalation and cost.

01 / COMPARISON

Three ways to serve, three kinds of task

This comparison uses general categories, not products or brands, and includes no figures: every business has different volumes, costs and systems. A traditional chatbot follows predefined flows with menu options or keywords. An AI agent interprets natural language, consults authorized information and can carry out defined actions in your systems. A manual team resolves with human judgment, but its capacity depends on schedules and headcount.

No option is better at everything. The useful question is which task you want to solve and how risky a mistake would be.

02 / COMPARISON

When a traditional chatbot fits

If your inquiries are few, highly repetitive and their answers rarely change, an option-based flow may be enough, cheaper and easier to audit. It is a good option when the risk of an imprecise answer is low and you do not need to run actions in other systems.

Its limit shows up when customers write the way they speak: with typos, several ideas in one message or questions that were not on the menu.

03 / COMPARISON

When an AI agent fits

An agent makes sense when the task combines conversation with changing information and with an action: booking, checking a status, preparing a quote or gathering the documents for a case file. Also when there is high volume outside business hours or when your team spends time on questions that can be answered with data already in your systems.

In return it requires design work: clear rules, reliable data, tests with hard cases, supervision and an accountable person. A poorly supervised agent can be confidently wrong, which is why limits and escalation are part of the product, not an add-on.

04 / COMPARISON

When more people is the right answer

Conversations involving empathy, negotiation, decisions with financial or legal consequences, or unprecedented situations belong to people. If volume is low, the task changes every week or you do not yet understand the process well, hiring or reassigning people is usually wiser than automating something not yet defined.

A manual team is also the foundation of any agent: its criteria, exceptions and experience are what gets translated into rules and examples.

05 / COMPARISON

When you do NOT need an agent

You do not need one if your problem is that information is disorganized, if business rules are not written down, if the process depends on one person who cannot document it or if what is missing is a good form or a simple automatic reply. Automating a confusing process only makes it confusing faster.

Nor if the cost of a mistake is unacceptable and there is no way to review the result. In those cases, the first step is to organize the process; an agent can come later. We would rather tell you in the first conversation than sell you a tool you do not need.

A little more clarity

Before we begin.

Why does the comparison include no figures?

Because costs, volumes and results depend on each operation. We prefer verifiable criteria to averages we cannot back with your data.

Does an agent replace my team?

The aim is to free time from repetitive tasks and leave people what requires judgment. What each part does is defined in your project scope.

Can you compare with a specific tool?

We do not name third-party products on this page to avoid claims we cannot verify. If you are evaluating a specific tool, we can review its criteria together.
