01 / CALCULATORHow to read this calculator
The calculator multiplies monthly conversation volume by the time your team spends on each one, and by the percentage you assume could be automated. The result is an estimate of hours and team cost, using the figures you type. We do not know your numbers, we do not use customer averages and we do not send them to any server: everything is calculated in your browser.
The automatable percentage is the most delicate assumption. It starts at a conservative value and can be edited. A conversation that requires human judgment does not count as automatable, and a high percentage requires well-defined processes and supervision.
02 / CALCULATORWhat it does not include
The result does not deduct the project cost, the operation, or the time your team spends supervising and handling escalated cases. It also does not measure additional revenue from faster replies or changes in satisfaction. Those must be evaluated against a real baseline from your operation and are discussed in the proposal.
The calculator is a tool to structure an internal conversation, not a savings commitment. If the result looks interesting, the next step is to validate the assumptions with real data from your team.
03 / CALCULATORHow to validate the assumptions with your team
Measure for a week or two how many conversations arrive and how long each type actually takes. Classify a sample into three groups: those resolved with information that already exists in your systems, those needing a human decision and those that are ambiguous. Only the first group is a clear candidate for automation.
Use the salary or hourly cost your company recognizes for that role. If you hesitate between two values, run the calculator with both: the range tells you how sensitive the result is.
04 / CALCULATORIllustrative example of the calculation
Illustrative example, with made-up figures to explain the formula that do not represent any customer: if a team handles 1,000 conversations a month, each takes 6 minutes and it is assumed that 30% could be automated, the freeable hours would be 1,000 × 6 ÷ 60 × 0.30 = 30 hours per month. At a cost of 150 pesos per hour, the associated team cost would be 4,500 pesos a month.
Notice what happens if the assumption drops to 15%: the result is cut in half. That sensitivity is why the percentage must be justified with a real sample and not with wishful thinking.
