# From first call to production in four steps.

Understand, design, test with your team and operate with oversight: how we build an AI agent, with clear deliverables and an accountable person at every step.

## Step 1. Understand the process

We start with a conversation about one concrete task, not a list of features. We want to know how a request arrives today, who handles it, which systems they consult, how long it takes and where it gets stuck. We review real examples your team chooses to share, including exceptions, because that is where much of the invisible work lives.

The result of this step is a bounded use case: which requests are in scope, which are not, and how we will know whether the change improved anything. Without a documented starting point, any later improvement would be an opinion.

- Who takes part: the process owner and the person who runs it day to day.
- What you receive: a summary of the current process, the proposed scope and the agreed success measure.
- What we need from you: representative examples and access to whoever administers your systems.

## Step 2. Design the agent and its limits

With the use case defined, we design the conversation and the actions. We define which information the agent may consult, which actions it may take on its own, which need a person’s approval and when it must hand the case to someone on your team with full context so the customer does not repeat their story.

This is the moment to decide tone, channels (for example messaging, voice or web, depending on the project) and the business rules that are not up for negotiation: schedules, policies, amounts or conditions only a person can change. It is also when we decide which systems are connected and with which permissions. Each connection is validated against the provider, its plan and its real limits.

- Who takes part: the process owner, the technical owner of each system and whoever will approve exceptions.
- What you receive: a proposal with scope, responsibilities, dependencies and acceptance criteria.
- What we need from you: the business rules in writing and a decision on what a person must always approve.

## Step 3. Test with your team before going live

Before a real customer talks to the agent, your team tests it. We prepare scenarios covering the expected path and the uncomfortable cases: missing data, ambiguous requests, duplicates, a change of mind mid-conversation and external system failures. We assess response quality and action outcome separately, because an agent can answer politely and still record an appointment incorrectly.

Findings become adjustments and, when appropriate, scope decisions. Nothing is accepted until the criteria agreed in the previous step are met with examples your team recognizes as its own.

- Who takes part: the people who do the work today, because they know the hard cases.
- What you receive: a test log showing what worked, what was fixed and what stays out of scope.
- What we need from you: review time from your team and test data that does not expose unnecessary information.

## Step 4. Operate with human oversight

Going live is agreed with owners, review schedules and a way back to the previous process if something does not go as expected. During the first weeks it makes sense to review conversations frequently and expand scope only with evidence: time to resolution, cases that needed a person, corrections required and workload compared with the starting point.

People keep the judgment. The agent escalates when information is missing, when a request exceeds its scope or when an external system responds uncertainly. What is logged, who can see those logs and for how long they are kept is defined per project in the proposal.

- Who takes part: an operations owner on your side and our follow-up team.
- What you receive: periodic quality reviews and a prioritized list of improvements.
- What we need from you: handle escalated cases and tell us about changes in policies or systems.

## What this process does not promise

We do not set generic timelines or promise outcomes before knowing your operation: timing depends on the number of processes, the systems involved, available access and your organization’s internal reviews. Nor do we claim that an agent replaces your team; the aim is to free time from repetitive tasks so people can focus on what requires judgment.

If after the first step we conclude that your case does not need an agent, we will tell you. Sometimes a rule in a system you already have or a process adjustment solves more than a new tool.

## Frequently asked questions

### How long does each step take?

We do not publish generic timelines. After the first step we can estimate phases and dependencies based on your processes, systems, access and internal reviews.

### What happens if the agent cannot answer?

An escalation path is designed: the case goes to a person on your team with the conversation context. Which cases escalate and to whom is defined in the design step.

### Can I see the agent before contracting?

You can book a demonstration to review a scenario like yours. The conversations shown on this site are labeled simulations, not customer conversations.

### What if my systems do not allow the connection?

We identify it in the first or second step and propose alternatives with their limits, for example an agreed import or an action a person confirms.
